Privacy Policy

Task-It ("we", "us") is a task-management app with an AI assistant, built for business owners and their teams. This policy explains exactly what personal information we collect, why each item is genuinely required for the app to work, how it is protected, and the controls you have. It is written to satisfy Google Play's Data Safety and Apple's App Privacy requirements.
1. Personal information we collect โ and why the app cannot work without it
๐ Your mobile phone number (required)
- Why we need it: your phone number IS your Task-It identity โ there are no usernames or passwords. We verify it with a one-time SMS code (via Firebase Authentication or Twilio Verify). Tasks are assigned between people using phone numbers, so without it, no task can reach you.
- How it's stored: in international E.164 format, encrypted in transit (TLS) and at rest.
- Trial fairness: we keep a minimal record that a number has used its free trial, so deleting and re-creating an account cannot reset the trial. This record is retained even after account deletion โ it contains only the number and trial dates, nothing else.
๐ Your phonebook contacts โ names & phone numbers only (optional, but core)
- Why we need it: Task-It's core promise is "say a name, and the task reaches the right person". To do that, the app reads contact names and phone numbers from your phonebook (with your explicit permission) and matches the name you speak โ e.g. "Amit" โ to the correct person. Without contact access, you cannot assign tasks by name.
- What we do NOT collect: we never read your call history, SMS messages, emails, photos of contacts, or any other phonebook fields. Only name + number.
- Nick Names you assign: when you mark someone as a favourite and give them a Nick Name (e.g. "Jayant"), we store that Nick Name in your account and the AI uses it when addressing that person in task messages, follow-ups and voice replies. Nick Names are visible only within your account and inside task threads you create; you can change or remove them any time from Contacts Settings.
- Control: the permission is optional and asked in context after login. You can revoke it any time in your phone's Settings; already-synced contacts can be removed by deleting your account or contacting us.
- Never sold or shared: your contacts are used only inside your own account for matching. We do not sell, share, or use them for marketing, and other users cannot browse your phonebook.
๐ Microphone / voice recordings (optional)
- Why we need it: Task-It is voice-first โ you speak tasks and talk to the AI assistant. Audio is recorded only while you actively use a voice feature, transcribed by OpenAI Whisper, processed, and not kept as a permanent voice file. The resulting text (your task/instruction) is stored like any other message.
- Control: optional permission; type instead of speak any time.
๐ Notifications / push token (optional)
- Why we need it: so you know instantly when a task is assigned, replied to, due, or overdue. We store a device push token linked to your account. Logging out makes your device stop receiving pushes.
๐ Content you create
- Tasks, chat messages, voice-note transcripts, photos/files you attach, and your display name. This is the product itself โ shared only with the people on that task.
โ๏ธ Settings & technical data
- Your device timezone (so reminders and quiet hours follow YOUR clock), preferred AI language (e.g. Hindi), AI follow-up preferences, favourites/nick-names you set, app version and basic device type for support, and approximate country (from your phone code) to show correct pricing/currency (INR for +91, USD otherwise). We do not collect precise GPS location.
๐ณ Payments (web only)
- Subscriptions are purchased on taskit.club/billing and processed by Razorpay. We never see or store your card/UPI credentials โ we receive only payment status, plan, and amount. Payments in INR (India) or USD (international).

3. Service providers we rely on
Each processes data only to provide its function, under its own security terms: Firebase Authentication & Twilio (OTP/SMS), OpenAI (AI task analysis, transcription, assistant replies), ElevenLabs (assistant voice audio), Razorpay (payments), MongoDB Atlas (encrypted database hosting), and our push-notification delivery service. We never sell personal data to anyone.
4. Retention & deletion
- Your data is kept while your account is active.
- Delete your account from the app (Settings) or by writing to us โ tasks, messages, contacts and settings are removed. Messages you sent inside other people's tasks remain visible to them (like any messenger).
- The trial-usage record of your phone number (Section 1) and legally required payment records are retained after deletion.
5. Security
All traffic is encrypted with TLS; data is encrypted at rest; access is restricted; login sessions are per-device (a new phone login signs out the old one). No system is 100% secure, but we design conservatively โ we collect the minimum needed.
6. Children
Task-It is a business tool and not directed at children under 16. We do not knowingly collect children's data.
7. Your rights
You may access, correct, export, or delete your personal information, withdraw permissions (contacts, microphone, notifications) from your phone's Settings at any time, and complain to your local data-protection authority. Indian users: this policy serves as the notice required under the DPDP Act, 2023.
8. Contact / Grievance
